Legacy Healthcare is Hiring a Medical Records Coordinator (Part Time) Near Charles, IL

Reports to Administrator or Designee

Summary/Objective: In keeping with our organization’s goal of improving the lives of the Guests we serve, the Medical Records Coordinator maintains the health records of all Guests in the facility and provides administrative support to the nursing department in accordance with federal, state and local regulations.

Essential Functions Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

1. Maintains the health records of all Guests in the facility in a secure manner and in compliance with federal, state and local regulations.

2. Maintains and updates filing system for the medical records department. Retrieves information and files when needed.

3. Maintains up-to-date records of individuals allowed to view Guest records.

4. Respond to requests for medical records from outside the facility.

5. Types and designs general correspondences, memos, charts and tables in regards to Guest information. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.

6. Reports all hazardous conditions, damaged equipment, accidents/incidents and supply issues to appropriate persons.

7. Assure that established infection control and prevention practices and standard precautions are maintained at all times.

8. Follow established safety precautions when preforming tasks and using equipment and supplies.

9. Maintains the comfort, privacy and dignity of Guests and interacts with them in a manner that displays warmth, respect and promotes a caring environment.

10. Communicates and interacts effectively and tactfully with Guests, visitors, families, peers and supervisors.

11. Ensure each Guest receives person centered care.

12. Answers and respond to call lights promptly and courteously when working in Guest care areas.

13. Reports all Guest concerns to the appropriate department head.

14. Attend and participate in departmental meetings and in-services as directed.

15. Receive direction from the Nursing Home Administrator on overall Quality Assurance and Performance Improvement (QAPI) objectives for the organization.

16. Be knowledgeable in data collection, data analysis methodology, and performance improvement methods needed to support and lead performance improvement projects.

17. Identify opportunities for improvement through analysis of data, observation of operations, and consultation with leadership and staff.

18. Collaborate with the quality committee and senior leaders to prioritize and develop QAPI efforts.

19. Lead performance improvement projects and provide education and coaching in order to build needed skills in others to lead PIPs.

20. Participate in multidisciplinary QAPI activities.

21. Participate in compliance trainings as scheduled and adhere to compliance plan.

Supervisory Responsibility This position has no supervisory responsibilities.

Work Environment This job operates in a health care setting. This role requires regular walking to various locations around the facility. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

This role may also come into contact with Guests who may have contagious illnesses.

Physical Demands While performing the duties of this job, the employee is regularly required to talk and hear. This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.

Position Type and Expected Hours of Work This position is part of a health care facility that is open 24 hours a day, 365 days a year. Evening and weekend work as well as holiday and work during inclement weather will be required.

Travel: No travel is expected for this position.

Required Education and Experience:

• High school diploma or equivalent.

• One year experience in an administrative role or record keeping role.

Preferred Education and Experience:

• Two years of related experience.
